4) Terms & Conditions (Consultations + Mobile Services)

4.1 Definitions

  • “SMC” / “We” / “Us”: the service provider identified in the Legal Imprint.

  • “Client” / “You”: the person purchasing a consultation and/or receiving services.

  • “Consultation”: a paid meeting (digital or in person) to discuss needs and define a tailored solution such as a customized course.

  • “Proposal / Contractual Offer”: a detailed offer prepared after the consultation; it may contain additional terms if accepted.

  • “Mobile services”: services delivered at the client’s location (no permanent salon location by default).

4.2 What is sold on this website

This website sells consultations (NOT ready-made courses or ready-to-purchase training products). A consultation allows you to describe your needs; afterward, SMC may prepare a proposal/contractual offer.
A proposal is not an automatic agreement until you explicitly accept it (and any required terms).

4.3 Scope and format of consultations

  • Consultations are typically delivered digitally (conference call).

  • In-person consultations may be possible by request and may involve additional fees depending on location/logistics.

  • The consultation is an advisory/planning service. Unless explicitly stated in writing, the consultation does not include ongoing support beyond the booked session.

4.4 Mobile services and physical location

  • SMC operates on-the-go and does not provide services from a permanent physical salon location by default.

  • If a physical setup/location is required, it must be requested by phone in advance and confirmed by SMC (additional terms/fees may apply).

4.5 Pricing, “standard price menu,” and quotes

  • Prices can vary depending on the client’s situation (e.g., hair length/density/condition, complexity, time required, travel/logistics).

  • Clients are encouraged to call and present their situation to receive an accurate quote.

  • A standard price menu may be shown on the website as a non-binding guideline; the final price is confirmed by SMC.

4.6 Standard service area and travel

  • Standard service pricing typically applies within [25] km of Roeselare (or the distance shown on the website’s pricing page).

  • Outside the standard area, travel fees and/or adjusted pricing may apply and will be communicated before confirmation.

4.7 Bookings, scheduling, and client obligations

  • You must provide accurate contact details so we can confirm scheduling.

  • You are responsible for being available at the agreed time and ensuring a workable setup for mobile services (safe access, reasonable space, etc.).

  • For mobile appointments, if access is denied, unsafe, or materially different from what was agreed, SMC may cancel/refuse service and may retain fees to cover reserved time and travel (where lawful and proportionate) or may propose a updated offer that the client may consider.

4.8 Cancellation, rescheduling, lateness, and no-show

Unless a different rule is stated on the relevant booking page:

  • Rescheduling: permitted once at no charge if requested at least 24 hours in advance (subject to availability).

  • Late cancellations / no-shows: cancellations under 24 hours, excessive lateness, or no-shows may result in the fee being retained to cover reserved time and preparation.

4.9 Consumer right of withdrawal (distance services)

If you purchase as a consumer (B2C), you generally have a 14-day right of withdrawal for distance contracts (including services), counted (for services) from the day the contract is concluded.
Important: if you request the consultation to be fully performed within the withdrawal period and acknowledge loss of the withdrawal right once fully performed, the withdrawal right can be lost after full performance (where applicable).

4.10 Health, safety, allergies, and suitability

  • You are responsible for disclosing relevant information that may affect service safety (e.g., allergies, scalp sensitivity, prior chemical history where relevant).

  • This website and consultations do not provide medical advice; where necessary, you should consult a qualified healthcare professional.

4.11 Professional judgment and no guarantee

Results depend on individual factors (hair/scalp condition, prior treatments, maintenance, client preferences). Unless explicitly agreed in writing, SMC does not guarantee specific outcomes.

4.12 Intellectual property (training materials / proposals)

Any documents, training outlines, proposals, and materials provided by SMC remain SMC’s intellectual property unless a written agreement states otherwise. You may not copy, redistribute, or resell them without permission.

5) Complaints handling & dispute resolution

5.1 How to submit a complaint (first step)

If you are unhappy with a service or have a dispute:

  1. Contact SMC first using the contact details in the Legal Imprint.

  2. Provide your name, booking reference (if any), date of service/consultation, and a clear description of the issue.

  3. We aim to respond within [at most 7 working days]. But we generally respond within 24 hours, to accelerate the process you may call.

5.2 Alternative Dispute Resolution (ADR) — Belgium

If the dispute cannot be resolved directly, consumers may be able to use an out-of-court dispute resolution body. In Belgium, a key channel is the Consumer Mediation Service (Service de Médiation pour le Consommateur / Consumentenombudsdienst).

5.3 Note about the EU ODR platform

The European Commission’s Online Dispute Resolution (ODR) Platform was discontinued/closed (discontinued as of 20 July 2025).
For disputes, consumers should use appropriate national ADR channels (such as the Belgian Consumer Mediation Service) or other applicable routes.
